Managing Project Ideas
In Reflecta Funding Navigator, you create your project ideas to find suitable funding opportunities. Here you’ll learn about the two ways to create projects and the intelligent features available.
What are Project Ideas?
Project ideas are your concrete concepts or already developed plans for which you are seeking funding. These can include:
- New Project Ideas – Initial thoughts and concepts
-
Developed Project Ideas – Already detailed and planned project ideas
- Ongoing Project Ideas – Projects you want to continue funding
- Future Projects – Long-term project ideas for your organization
Each project idea can find individually suitable funding—regardless of your organization profile.
Two Ways to Create Projects
Option 1: Develop a New Idea (from scratch)
Perfect if you:
- Have a rough idea that still needs to be developed
- Want to be guided step by step through the development process
- Want to use AI to help structure your idea
How the Wizard Works:
Step 1: Define the Problem
- What is the specific problem or need?
- Example: "Educational opportunities are hard to access for many children in rural areas"
Step 2: Identify the Target Group
- Who will directly benefit?
- Example: "Students aged 10-16 in rural areas"
Step 3: Describe the Solution Approach
- What measures do you have in mind?
- Example: "A digital learning platform that can also be used offline"
Step 4: Plan Resources
- What do you need for implementation?
- Example: "IT development, teaching staff, hardware for schools"
The AI automatically creates a structured project idea from your inputs.
Option 2: Enter an Existing Project
Ideal if you: - Already have a developed concept - Have detailed documentation - Want to get started quickly
Input Options:
- Title and Description – Free text for your project idea
- PDF Upload (not yet available) – Concepts, sketches, financial plans (max. 10 MB per file)
- Project Status – Idea, Planning, Implementation, Completed
- Budget and Timeline – If already known

Tips for Successful Project Ideas
1. Be Specific
Vague descriptions like "We want to do good" don’t help. Concrete goals and actions are important.
Bad: "Helping children" Better: "Promoting reading skills among elementary students in disadvantaged urban areas through digital learning games"
2. Think Funding-Relevant
Align with typical funding criteria:
- Target Group – Who specifically benefits?
- Innovation – What is new or special?
- Sustainability – How will the project idea have a long-term impact?
- Measurability – What results can be expected?
3. Use the AI Optimally
- Get help – Ask the AI assistant specific questions
- Iterate – Work step by step on improvements
- Review Suggestions – Critically evaluate AI recommendations
4. Keep Project Ideas Up to Date
- Regular Updates – For important developments
- Adjust Status – When the project stage changes
- Use Archive – Hide old project ideas
Frequently Asked Questions
Q: Can I share project ideas with team members?

Q: What happens to my project ideas if I downgrade my plan?
A: Existing project ideas remain, but you can’t create new ones until you’re within the limit.
Q: How detailed should a project description be?
A: As detailed as possible. At a minimum, the problem, target group, solution, and resource needs should be clear.
Q: Are my project data used for AI training?
